Learn how fixSignatures subscription limits work and what happens when you reach your user limit.
How Package Limits Work
Each fixSignatures subscription plan includes a specific number of enabled users – the users who actively receive email signatures.

| Active signature recipients | Synced users not receiving signatures |
For example, if your plan includes 50 users:
- You can sync 1,000 users from Microsoft Entra ID (no limit)
- You can enable up to 50 of those users to receive signatures
- The other 950 remain synced but disabled
Checking Your Current Usage
You can see your current usage in several places:
Dashboard
The Dashboard shows quick stats including:
- Signature Users – Total synced and enabled count
- Subscription Status – Current plan information
Billing Page
Navigate to Billing & Subscription to see:
- Your current plan name and limit
- Number of enabled users vs. limit
- Upgrade options
What Happens at the Limit
When you reach your user limit:
Enabling New Users
- You cannot enable additional users beyond your limit
- The “Enable” button will show a limit warning
- You must either disable other users or upgrade your plan
Existing Enabled Users
- Currently enabled users continue to receive signatures
- Their signatures are not affected by hitting the limit
During User Sync
If new users are added to Microsoft Entra ID:
- New users are synced with “Disabled” status
- They won’t be auto-enabled even if you have room
- You manually choose which users to enable
Auto-Disable Behavior
Important: If you downgrade to a smaller plan, users above the new limit may be automatically disabled. You’ll receive a warning before this happens.
When downgrading:
- You’ll see which users exceed the new limit
- You can manually choose which users to keep enabled
- Or let the system disable the most recently enabled users
Upgrading Your Plan
To increase your user limit:
- Go to Billing & Subscription
- Review available plans and their user limits
- Click Upgrade on your desired plan
- Complete the payment process
- Your new limit is effective immediately
Choosing Which Users to Enable
If you have more users than your limit allows, prioritize:
- Customer-facing roles – Sales, support, account management
- External communication – Anyone who emails customers or partners
- Leadership – Executives and managers
- New hires – Ensure consistent branding from day one
Users who mainly communicate internally may not need signatures.
Managing Limits Efficiently
Regular Cleanup
- Review enabled users periodically
- Disable users who have left the company
- Disable users who no longer need external signatures
Use Domain Filtering
If you have multiple domains but only need signatures for one:
- Set Allowed Domains in Microsoft 365 Setup
- Only users from specified domains will sync
- Reduces clutter in your user list
FAQ
Does syncing users count against my limit?
No. Only enabled users count. You can sync your entire directory without affecting your limit.
What if an enabled user leaves the company?
If they’re removed from Microsoft Entra ID, they’ll be marked as disabled during the next sync, freeing up a spot in your limit.
Can I temporarily exceed my limit?
No. The limit is enforced immediately. You must either disable users or upgrade to enable more.
