Get fixSignatures up and running in 5 simple steps. This guide walks you through the complete setup process from connecting Microsoft 365 to deploying signatures to your users.

Prerequisites

Before you begin, ensure you have:

  • A Microsoft 365 Business or Enterprise subscription
  • Global Administrator or Application Administrator access to your Microsoft 365 tenant
  • A fixSignatures account with an active subscription

Step 1: Register an App in Microsoft Entra ID

fixSignatures needs to connect to your Microsoft 365 tenant to sync user data. This requires creating an app registration in Microsoft Entra ID.

Privacy Note: fixSignatures only syncs directory information (names, job titles, contact details). We never access email content, calendar, or other sensitive data.

Step 2: Connect Microsoft 365 in fixSignatures

Once you have your Microsoft Entra ID app credentials, connect them in fixSignatures:

  1. Navigate to Settings → Microsoft 365 Setup
  2. Enter your Tenant ID, Client ID, and Client Secret
  3. Optionally configure Allowed Domains to filter which users are synced
  4. Click Save Configuration
  5. Click Test Connection to verify the setup

Step 3: Sync Your Users

After connecting Microsoft 365, sync your user directory:

  1. On the Microsoft 365 Setup page, click Sync Users Now
  2. Wait for the sync to complete (this may take a few moments depending on your directory size)
  3. Navigate to Settings → Signature Users to see the synced users
  4. Enable the users who should receive signatures by clicking Enable next to their name

Users are automatically synced every night at 2:00 AM UTC to keep your directory up to date.

Step 4: Create a Signature Template

Now create your email signature template:

  1. Navigate to Signatures in the main menu
  2. Click Create New Signature
  3. Give your signature a name (e.g., “Company Standard”)
  4. Use the HTML editor to design your signature
  5. Insert template variables like {{name}}, {{jobTitle}}, and {{mail}}
  6. Preview your signature using real user data with the Preview as dropdown
  7. Click Save Template

Step 5: Deploy the Outlook Add-in

Finally, deploy the Outlook add-in so signatures appear automatically:

  1. Go to Settings → Microsoft 365 Setup
  2. Scroll to the Outlook Add-in Deployment section
  3. Copy the Direct URL for the manifest
  4. Deploy via the Microsoft 365 Admin Center (see Deploying the Outlook Add-in)

Note: After deploying the add-in, it may take 24-72 hours for the add-in to appear in all users’ Outlook clients due to Microsoft 365 propagation.

Verify Your Setup

Check the Setup Status section on your Dashboard. You should see green checkmarks for:

  • Microsoft 365 Connected – Your tenant is linked
  • Signatures Created – At least one signature template exists
  • Outlook Add-in Configured – Ready for deployment
